Terms and Conditions – Verve Nepal

Effective Date: January 9, 2026

By booking a trip with Verve Nepal, you (the “Client”) agree to be bound by these Terms and Conditions. These terms constitute the entire agreement between the Client and Verve Nepal.

  • 1.1 Booking a Trip: A booking is made when the Client submits a booking form and payment.
  • 1.2 Contract Formation: A binding contract exists once we issue a written confirmation or invoice.
  • 1.3 Deposit Requirement: To secure a trekking or tour reservation, a non-refundable deposit of 10% is required at the time of booking.
  • 1.4 Payment Methods: We accept bank transfers and local digital wallets.
  • 1.5 Last Minute Booking: For bookings made within 7 days of departure, full payment is required at the time of reservation.

  • 2.1 Cancellation Policy: We offer free cancellation to our clients. However, deposits made to book a trek will not be refunded. 
  • 2.2 Life Time Deposit: If you cancel due to unforeseen circumstances, your deposit is held as a “Life Time Deposit,” allowing you to use it for a future trip with us, provided you notify us at least 30 days before the original departure.
  • 2.3 Trip Amendment: If the Client wishes to change their itinerary, an administrative fee plus any costs incurred by third-party providers (hotels, airlines) will apply.
  • 2.4 Trip Cancellation by Company: Verve Nepal reserves the right to cancel any trip before departure (e.g. bad weathers, Political riots ). In such cases, a full refund or alternative trip will be offered. We are not liable for any incidental expenses (e.g., international flights).

  • 3.1 Medical Conditions & Special Requirements: Clients must notify us in writing of any medical conditions, disabilities, or physical/mental limitations at the time of booking.
  • 3.2 Health & Fitness: Trekking in Nepal is physically demanding. It is the Client’s responsibility to ensure they are fit for the chosen itinerary.
  • 3.3 Injuries and Evacuation: In the event of injury or illness, Verve Nepal will facilitate emergency evacuation (e.g., helicopter). The Client is 100% responsible for these costs.
  • 3.4 Travel Insurance: Mandatory. Insurance must cover personal accident, medical expenses, and helicopter rescue at the maximum altitude of your trek.

  • 4.1 Flight Delays & Itinerary Changes: Mountain weather is unpredictable. Verve Nepal is not responsible for costs arising from flight delays (e.g., Lukla/Jomsom) or necessary itinerary changes.
  • 4.2 Paper and Documents: Clients must provide all necessary documents (photos, insurance copies) for permits in a timely manner.
  • 4.3 Visa and Passport: Your passport must be valid for at least 6 months beyond the stay. Obtaining a Nepal Visa is the Client’s responsibility.
  • 4.4 Services Missed or Unused: No refunds are given for unused services (e.g., accommodation, transport, meals) if the Client leaves a trek early for any reason.

  • 5.1 Children: Travelers under 18 must be accompanied by a legal guardian.
  • 5.2 Discount Provision: Any discounts offered at the time of booking are final and cannot be applied retroactively.
  • 5.3 Supplement Charge: If a Client requires a single room/tent, a single supplement charge will apply.
  • 5.4 Publicity: You agree that Verve Nepal may use images/videos of you taken during the trip for marketing and promotional purposes unless you state otherwise in writing.

  • 6.1 Risk & Responsibility: The Client acknowledges that trekking involves high-altitude risks. You travel at your own risk.
  • 6.2 Trip Duration Changes: We reserve the right to shorten or extend a trip for safety reasons.
  • 6.3 Your Personal Belongings: Verve Nepal is not liable for loss or damage to personal baggage or equipment during the trek or at the hostel.
  • 6.4 Responsible Tourism Policy: We follow strict eco-friendly guidelines. Clients are expected to respect local cultures and the environment.

  • 7.1 Dispute Settlement: Any dispute shall be settled through mutual negotiation. If unsuccessful, it shall be referred to the jurisdiction of the Nepal Courts.
  • 7.2 Compensation: Our liability for any loss/damage is limited to the total price paid for the trip.
  • 7.3 Enforcement: If any part of these terms is found unenforceable, the remainder remains in effect.
  • 7.4 Privacy: Your data is handled according to our Privacy Policy.
  • 7.5 Updating Terms: Verve Nepal reserves the right to update these terms at any time.
